Let's walk through a simple SmartSuite setup to see automation in action:
Setting Up the Environment
First, create a table called "Example Data" with the following fields:
- Name
- Assigned To
- Priority
- Status
- Checklist
- Due Date
Here's an example record:

The checklist field will serve as our automation trigger.
Trigger: Checklist Completed
To build an automation, we first need a trigger event. In this case, we'll use the checklist being fully completed:

- Trigger: When checklist is fully resolved
- Table: Example Data
- Condition: All checklist items resolved
When all items are checked off, our automation will activate.
Action 1: Update Record
The most common action is updating the record that triggered the automation. For example, we can automatically mark a task as "Complete" when its checklist is finished.

Action 2: Send Email
Another useful action is sending email alerts. For example, email the assigned user when their checklist task is done.

Action 3: Send Slack/Teams Message
Keep your team updated by automatically posting event notifications in Slack or Teams:
