Wondering if ProofHub is the best project management app for your professional or organizational needs?

In this honest ProofHub review, I’ll go over the platform in detail, including its features, usability, security, integrations, and even customer support.

TL;DR

  • Range of features: 6/10. ProofHub doesn’t offer a good range of project management features as well as customization and budgeting ones.
  • User interface and usability: 8/10. The platform is easy to use and new joiners can easily adapt to the interface.
  • Security measures: 9/10. ProofHub offers enterprise-grade security. There are no complaints or security risks found for now.
  • Integrations: 6/10. ProofHub provides a small range of integrations, and even though this drawback of theirs was noticed a few years ago by users of the platform, ProofHub still hasn’t improved its situation.
  • Customer support: 8/10. Despite the occasional dissatisfied user with customer support, pretty much everyone has been happy with the attention they’ve been given by support. 
  • Pricing model: 8/10. Compared to other project management software on the market, ProofHub doesn’t offer a per-user pricing structure, which is a huge advantage for larger teams on a budget.

ProofHub Overview

ProofHub is a project management and team collaboration software that has built-in time tracking and reporting.

The platform offers an extensive toolkit including task management, Gantt charts, and proofing tools, enabling teams to plan, collaborate, and deliver projects efficiently.

ProofHub provides users with a centralized platform for storing data, tracking progress, and facilitating communication, making it easier for your team to follow deadlines and stay organized.

With ProofHub, your team can create and manage projects with ease by assigning tasks to group members and breaking tasks into subtasks.

Team collaboration is also facilitated by the real-time chat function of ProofHub, where you can all discuss and comment for feedback.

Teams can track how much time each member spends on certain tasks and the platform can also generate timesheets and time reports.

While using the platform, you can view your projects in different formats such as Gantt charts, tables, and boards.

💡ProofHub has an inbuilt proofing tool for reviewing images and files. You can also add notes and mark changes on the files you have edited.

I found the tool to be a good option for small-to-medium-sized businesses, which are looking for proofing tools and the ability to track and report on projects.

ProofHub’s Core Features

Project and task management 

ProofHub’s task management feature allows users to create, assign, and track tasks with different view formats such as Gantt charts, tables, and boards.

This feature offers teams the opportunity to divide tasks into subtasks and set custom workflows.

Implementing this approach to an organization’s tasks includes the ability to set start and due dates, assign members to certain tasks, and add custom labels for categorization.

Team collaboration

ProofHub offers a robust set of collaboration tools, which include real-time chat for teams and individuals, discussing different topics within projects, and an announcements feature for important updates to inform team members.

The platform also allows file sharing, commenting on tasks, and mentioning teammates.

There is a proofing tool for reviewing and approving documents, which allows annotation and sharing of in-context feedback. 

Time tracking and reporting

ProofHub allows teams to track team members' time spent on tasks either manually or using an automatic timer, with the ability to set time estimates and compare them against actual time logged.

The reporting features offer different types of reports, including resource, project, and workload reports, which can give insights into the progress of the project.

By using all this data, leaders can make data-driven decisions and improve overall project efficiency.

Customization 

ProofHub provides many customization options, which allow users to tailor and build workflows to make the team’s processes.

You can also create project templates for quick project initiation and add multiple custom fields to catch relevant data.

According to some G2 users, ProofHub doesn’t offer a good range of project management and budgeting features.

ProofHub users have also noted that there are limited customization options to the platform and this feature can be better developed.

ProofHub’s Interface: Is It Easy To Use?

ProofHub’s interface - at first glance - is intuitive and easy to use.

You can navigate through the platform with great ease and on-board new team members with no difficulties.

Most G2 users can agree with me that ProofHub’s interface is well-organized and has a small learning curve.

There are many built-in conveniences such as the ability to reorder tasks by dragging and dropping them. 

It is also easy to create dependencies between tasks in a Gantt chart by dragging a circle that appears from one task to another.

Rating: 8/10.

The platform is easy to use and new joiners can easily adapt to the interface. On G2, users of ProofHub note that the interface is suitable for non-tech-savvy specialists and despite that, they manage to get around.

ProofHub’s Security Measures

ProofHub offers various forms of security for its users like 128-bit SSL encryption to protect data in transit. 

The platform provides users with real-time status updates and historical platform performance metrics. ProofHub’s support team is available 24/7 to respond to users’ concerns.

Not only will you be able to check when each member of your team has last logged in, but also the platform allows the administrator to see what has happened in their account in real-time.

ProofHub’s infrastructure is designed with many layers of protection and gives you better visibility and control of your data.

If you’re on ProofHub’s Ultimate Control plan, you will get access to:

  • IP restrictions.
  • Activity logs.

Rating: 9/10.

ProofHub’s security measures are reliable and allow personal control of one’s data.

ProofHub’s Integrations

ProofHub’s integration options are limited to about 10 platforms, which is a concern for most users of the platform.

Some of the integrations are:

  • Slack.
  • Box.
  • Dropbox.
  • Google Calendar and iCal.
  • Google Drive.
  • One Drive.

Rating: 6/10.

ProofHub has a small range of integrations, and even though this drawback of theirs was noticed a few years ago by users of the platform, ProofHub still hasn’t improved its situation.

ProofHub offers good customer support with excellent customer service, according to the majority of G2 reviews.

According to users of the platform, ProofHub is always there for you when you need customer support.

If you’re on their Ultimate Control plan, you’ll also get access to priority support.

Rating: 8/10.

Despite the occasional dissatisfied customer with customer support, pretty much everyone has been happy with the attention they’ve been given by support. 

ProofHub’s Pricing Model: Does It Provide A Good Value For Money?

ProofHub’s pricing model is pretty straightforward.

The platform doesn’t offer a freemium plan, however, there are two tiers:

  • Essential: $45/mo, which gives you access to 40 projects, unlimited users, and 15 GB of storage.
  • Ultimate Control: $89/mo for the first three months and then $150/mo afterwards, which adds more customization options and advanced workflows.

The platform does offer a 14-day free trial if you access the Ultimate Control plan, which allows you to test all its functionality before subscribing.

Rating: 8/10.

Compared to other project management software, ProofHub doesn’t offer a per-user pricing structure, which is a huge advantage for larger teams on a budget.

Which gives ProofHub an average rating of 7.5/10 for me.

To summarize:

ProofHub is ideal if you:

✅ Need an all-in-one project management and collaboration tool.

✅ Prefer a flat-free pricing model with unlimited users.

✅ Are looking for an intuitive interface with a small learning curve.

ProofHub isn't the best option if you:

❌ Rely on third-party integrations.

❌ Need advanced automation and AI features.

❌ Are looking for highly customizable notification settings.

SmartSuite offers automation starting from its free plan, similar to ProofHub. 

However, SmartSuite’s automation builder is much more user-friendly and lets you automate actions across workspaces—on a task or overall project level. 

It gives you more power to automate and build processes that handle recurring tasks such as status updates or follow-up emails.

Factors to Consider When Choosing an Organization Software

The automation builder offers no-code functionality to build simple one-liner sequences or multi-step flows through triggers, conditions, and actions. 

Your team can choose the prebuilt actions or integrate SmartSuite with email, file storage, messaging, or SMS platforms such as Slack, Microsoft Suite, Slack, and Calendars to build custom actions.
